Information we use
Your employer creates and manages your WorkforceSuite account. Depending on the features your employer enables, the service may use:
- Employee and account information: name, employee number, work contact details, photo, company, branch, department, job title, role, and sign-in records.
- Attendance information: clock-in and clock-out time, assigned work location, QR or checkpoint result, and location coordinates when the attendance policy requires location confirmation.
- Device and security information: device installation identifier, model, operating system, approved-device status, push-notification token, and authentication or security events.
- Work information: leave requests, schedules, payslips, notifications, and other records made available by your employer.
- Support information: information submitted when you or your employer asks for help.
How we use information
We use information to sign users in, show authorized workforce records, record attendance, apply workplace rules, deliver notifications, prevent unauthorized device use, troubleshoot problems, and maintain service security. We do not use employee information for targeted advertising.
Mobile app permissions
Location
The app requests foreground location when you clock in or out and your employer’s attendance policy requires location evidence. WorkforceSuite does not continuously track your location.
Camera
The camera scans attendance or inventory QR codes. WorkforceSuite does not keep a photo from the QR scan.
Notifications
If enabled, a push token is used to deliver work-related alerts and reminders to your device.
Biometrics
Face ID or fingerprint verification is handled by your device. WorkforceSuite does not receive or store your biometric template.
When information is shared
Authorized people at your employer, such as HR, payroll, finance, managers, and system administrators, can access information according to their permissions. Information may also be processed by service providers that operate hosting, storage, email, notifications, or technical support for WorkforceSuite. We do not sell personal information.
Security and retention
WorkforceSuite uses access controls, encryption in transit, secure sign-in, device approval, and audit records to protect information. Records are retained for as long as the employer needs them for workforce operations, payroll, security, or recordkeeping, and are deleted or anonymized when no longer required.
Access, correction, and deletion requests
WorkforceSuite accounts are created and managed by employers, not created by employees inside the mobile app. To correct your employee record, close your account, or request deletion of employer-managed data, contact your employer’s HR or system administrator. Some payroll, attendance, security, or audit records may need to remain in business records after access is disabled.
For information controlled directly by Ethio Digital Workforce, use the contact details below. We may ask for information needed to verify the request.
Contact and policy updates
We may update this policy when WorkforceSuite features or data practices change. The latest version will remain available at this public URL.
